The email address that has been used when registering to BOP if an invoice
specific email address has been provided to the Btwentyfour Finance Department.
How to add a party to a new group?
In the list of "Business relations", click the options icon for the party to be
handled.
Select "Group" to start adding that party to a group.
A pop-up window appears.
To add the party to a new group, start by entering a "Name".
Click "Create", to create a group with the entered name.
The name will be added to existing groups, and selected under "Select one of
your existing groups...".
Click "Add to group" to add the party to the selected group.
The party will be added to the group.
Where to find a list of "Manufacturer relations"?
Go to "Parties" - "Relations".
Click on the tab for "Manufacturer relations" (only visible when a supplier have
the service "Manufacturer owner" activated).
Manufacturer relations will be listed.
How to see "Agreed message relations" for a business relation?
Click the "Agreed message relations" tab to see which messages that is valid
according to the agreement with Btwentyfour for that specific party.
"Status" green for a "Message type", means that there is an agreed message
relation.
"Status" red for a "Message type", means that there is not an agreed message
relation.
Even though a buyer and a supplier has agreed on a business relation in the
platform, by accepting a relation request from the other party, a supplier still
needs to sign an agreement with Btwentyfour to have the message relations
approved for that specific buyer.
Where to find a list of "Business relations"?
Go to "Parties" - "Relations".
Click on the tab for "Business relations".
Approved relations with business parties, and pending relation requests, will be
listed.
As a supplier, to be able to send messages to a party, an agreement must have
been signed for that party with Btwentyfour.
Even though a buyer and a supplier has agreed on a business relation in the
platform, by accepting a relation request from the other party, a supplier still
needs to sign an agreement with Btwentyfour to have the message relations
approved for that specific buyer.

How to search for parties?
To search for a party, go to “Parties” – “Search”.
Type the name (or part of the name) or GLN to search for and click “Search”.
The result of the search will appear in a list.
How to set up currency rules in "Supplier settings"?
Currency rules can be used by both suppliers and buyers in the platform.
It is mandatory for a supplier to set up currency rules on their relations for
prices sent to the receiving party.
By setting up currency rules on their relations a supplier can filter which
currencies are being sent to the receivers of product data.
Currency rules can be set for the following price filters:
* Gross price filter
* Net price filter
* Recommended retail price filter
* Retail price filter
To set up currency rules, go to "Parties" - "Relations".
Click on the "Name" you want to set up currency rules for.
Click the tab for "Supplier settings".
For the filters to work, prices must be uploaded in the designated currency.
Click on the drop-down menu and select the currency to be set for the price
filters to be sent to the recipient.
A currency will be added to the price filter.
It is possible to set several currencies for each price filter.
Click the "+" icon to add another price filter row.
Another row for the same price filter will be added.
Click on the drop-down menu for the new row, and select the currency to be set.
Another currency will be added to the price filter.
To remove a currency from a price filter, click the "-" icon.
Click "Save", to save the price filters.

What can "Supplier settings" be used for?
Settings that can be added for that specific business relation.
Settings:
* Gross price filter - Add currencies that should be visible to the party on
the property grossPrice.
* Net price filter - Add currencies that should be visible to the party on the
property netPrice.
* Recommended retail price filter - Add currencies that should be visible to
the party on the property recRetailPrice.
* Retail price filter - Add currencies that should be visible to the party on
the property retailPrice and originalRetailPrice.
* Distribute generic INVRPT - A customer who is already receiving a
customer-specific INVRPT should not be chosen to also receive a generic one.
* Party data subscription start date - Set the start date for party data export
to EDI.
* Party data subscription interval - Set how often party data should be
exported to EDI.
What is a GLN?
A Global Location Number (GLN) is a unique number that is assigned to locations
to enable them to be identified uniquely worldwide.
These GLNs can be used to identify any legal, physical and functional locations.
GLNs are reference keys that can link to further information about the company
or location.
GLNs can replace the names and addresses of locations and are particularly
useful when automating processes; they allow computers to route information to
the correct destination with no manual involvement.
GLNs must be used when identifying locations and trading partners when you use
Electronic Data Interchange (EDI) business messages and data pools.
They can also be used in barcodes to identify a physical location or to provide
relevant information for delivery or invoicing purposes.

Why can I not see the input box and options necessary for uploading message in BOP user interface under "Communications" - "Messages"?
The most probable reason is that your user role is set to “User”.
You need to have the user role “Administrator” to be able to upload messages to
BOP.
Ask your party Administrator (you can see who this is in "My Party" - "Users")
to change your role.
What is EDI?
Electronic Data Interchange (EDI) provides global standards for electronic
business messaging that allow automation of business transactions commonly
occurring across the entire supply chain.
It covers master data alignment, order and delivery and financial settlement
management, as well as transport and warehouse management.
The main business partners in scope for this are retailers, manufacturers,
material suppliers and logistic service providers.
How to add a party to an existing group?
In the list of "Business relations", click the options icon for the party to be
handled.
Select "Group" to start adding that party to a group.

Click "Select one of your existing groups..." and select the group to add the
party to.
Click "Add to group" to add the party to the selected group.
The party will be added to the group.
How to add a search clause to a search in "Messages"?
It is possible to add another clause by clicking the “+” icon.
A new drop-down list will be shown below the first one.
Click to select any of the predefined definitions to search for.
Depending on the selected definition in the drop-down list, the default
drop-down list to the right will still be there, or it will be changed to a text
field instead.
If it´s a text field, enter the text to search for.
To search for something in the middle of a file name for example, use “%” before
and/or after.
Click “Search”.
The result will be listed below.
How to search for "Messages"?
To search for messages, start by clicking the drop-down list and select any of
the predefined definitions to search for.
Depending on the selected definition in the drop-down list, the default
drop-down list to the right will still be there, or it will be changed to a text
field instead.
If there is a drop-down list, select a predefined value.
Click “Search”.
The result will be listed below.
What happens to a file after it's uploaded in "Messages"?
When a file has been uploaded, a validation process will start in the
background.
Generic validations exist for all messages and all message senders in the
platform.
Generic validations are in place to make sure that all messages are uniform and
follow the same logic.
Some examples are checksum validation on barcodes and GLN, legal currency code
checks or that the supplier segment is present in the message header.
All messages, except for PRICAT, that fails the generic validations in the
platform will be stopped prior import into the platform.
If no error occur, "Status" will be shown as "Complete”.
“Complete” means that the file has been imported with no generic validation
errors.
Example of error statuses could be “FAILED VALIDATION – REJECTED”.
A PRICAT can be partially imported if at least one item has passed the generic
validation. The status will be “IMPORTED – PARTIALLY FAILED”.
In the example image above 12 items have been rejected and not imported to the
portal. These items must be corrected in the PRICAT and uploaded again.
In the example above 112 items have been imported and can be validated and
published.
“UNPUBLISHED” means that the PRICAT has not been published and sent to the
receiver.
How to map a GLN to a value?
To map a value, go to "My Organisation" - "My party".
Click on the tab for "GLN Mapping".
Click the button for “Unmapped” or “All”.
Enter the value to be mapped under “Mapped value”.
Click “Save”.
What can be found under the tab for "GLN Mapping" under "My party"?
This feature enables the platform to map GLNs to and from configured internal id
mapped values.
Set up a mapped value for each party that needs a mapped value.
Every mapped value must be unique.
Once a mapped value has been saved, it can be changed the same day, but after
that it is locked for one month. To unlock a mapped value, Btwentyfour Support
must be contacted.
What can be found under the tab for "Validation rules" under "My party"?
Consists of tabs for all message types where validation rules for each message
type can be found.
Each tab consists of four columns:
* Rule - Specifies the rule.
* Type - Specifies the type of the rule. If it is for:
* Message - validation rules for the incoming message.
* Pre - generic validation rules for when the incoming message have been
imported.
* Post - the receiving party’s validation rules.
* Properties - Specifies the property the validation rule is for.
* Owner - Specifies the owner of the validation rule. Could either be “B24” or
receiving party.
How to edit information for "My party"?
To edit editable information, go to “My Organisation” – “My Party”.
Click on the tab for “My Party”.
The party’s information will be shown.
Greyed out fields cannot be edited.
To edit information, enter the information in the field…
…and click “Save” in the bottom right corner to save the information.
Where to find information about "My party"?
Go to “My Organisation” – “My Party”.
Click on the tab for “My Party”.
Information about “My Party”, like GLN number, address, and email will be shown.
Information in “My party” will be enriched in messages to a receiving party if
no such information is being sent in the files.
The information is as the following, and most of it can be edited by the parties
themselves:
* Party name – The name of the party as entered in the Btwentyfour registry.
Visible/Searchable for other parties.
* Company group – Could be a company chain name or similar.
* Site reference/GLN – Party´s GLN number.
* VAT number – Party´s VAT number.
* Internal ID – TBC
* Banner – TBC
* Address (Street and Number) – Party´s street address and number.
* Zip code – Zip code for the party´s street address.
* City – City for the party´s street address.
* State – State for the party´s street address.
* Country – Country for the party´s street address.
* Tel. – Party´s phone number.
* Fax – Party´s fax number.
* E-Mail – Party´s email address.

How to delete a user?
To delete a user, go to “My organisation” – “Users”.
Click “Edit” on the line for the user.
Check the “Delete user?” checkbox.
Click “Delete” to delete user or click "Cancel" to leave editing mode and
discard any changes.
How to change role for a user?
With a user role as an administrator, it´s possible to change role for a user.
To change the role for a user, go to “My organisation” – “Users”.
Click “Edit” on the line for the user.
Click on the drop-down list under "Role" to select a new role for the user.
Click “Save” to change the settings or click "Cancel" to leave editing mode and
discard any changes.
Is it possible to edit a user?
With a user role as an administrator, it´s possible to change role for a user,
and/or delete a user.

Notification Matrix user guide
What is Notification Matrix?
Many of our customers have a lot of users, sending and receiving thousands of
messages across many markets. At times where errors occurs this can lead to an
overwhelming amount of error e-mails being sent to the users, not always
relevant to all. Notification Matrix aims to solve this problem by letting users
select which messages classes and relations are relevant for them to get
notifications for.
How does it work?
Notification Matrix groups notifications based on message class and lets the
users select which message classes they want to get notification for. It’s
possible for a user to get notifications from an entire message class from all
parties or to set up unique message class settings for individual parties.
It’s important to note that the notification matrix controls the integration
initiated events that results in a notification being sent to the user. That can
for example be when a message is sent or received through an integration. User
initiated events, like manually uploading a message or creating and sending a
message through the platform will still only create a notification for the user
who initiates that action.
Who can use it?
Notification Matrix is available for all our users that belong to a retailer or
brand account. Manufacturer accounts cannot use the Notification Matrix.
Access Notification matrix
To set up notifications go to the Users page under My Organisation. Click the
three dots to open the context menu and click the Notifications button to enter
the Notifications matrix page.
Enable Notification matrix
From the Notifications Matrix page first step is to enable the matrix. Check the
box in the top.
Notifications for one or more message classes
The top section of the notifications page controls notifications for entire
message classes. Here users can select to get notifications from specific
classes or enable all. Selecting an entire message class in the top section will
automatically include notifications for new parties when they are added as a
relation.
Notifications for one or more message classes per relation
The bottom section of the notifications page controls notifications per message
class from selected parties. Here users can select to get notifications for
specific classes for one or multiple parties or enable all notification for all
messages from selected parties. Selecting an entire message class in the bottom
section will not automatically include notifications for new parties when they
are added as a relation.
Example set up
Here is an example of a set up where notification has been enabled for the
entire message classes DESADV and ORDCHG. For the party Btwentyfour Demo Buyer
this user additionally wants to receive PRICAT and ORDERS notifications. For
party Btwentyfour Demo Buyer 2 they want to receive notifications for all
message classes.
Error e-mail set up
With the release of the Notification Matrix we also allow parties to set up and
administrate their own error contact e-mails. This page is avaliable under
MyParty/Error E-mail. All existing e-mail adresses has been transferred to this
new page. All users can view the page, only admins can add or delete e-mail
adresses.
How to "Accept relation" from a relation request?
To accept a relation request, click "Accept relation".
The business relation request will be accepted.

platform, by accepting a relation request from the other party, a supplier still
needs to sign an agreement with Btwentyfour to have the message relations
approved for that specific buyer.
How to establish a business relation?
To start establishing a relation, go to “Parties” – “Search”.
Type the name (or part of the name) or GLN to search for and click “Search”.
The result of the search will appear in a list.
Click "Create relation".
A relation request will be sent to the party.
The receiving party needs to accept the request for the relation to be
established.
Where to find a list of a manufacturers "Factories"?
Click the arrow before the manufacturer name.
A list of the manufacturers factories will be shown.
Click the arrow before the manufacturer name to collapse the list of factories.
It is also possible to click a manufacturers name to see more information about
that manufacturer.
Click the "Factories" tab to view factories.
Inactive factories are marked with an orange triangle.
How to set up a subscription on "Party Data" to receive regular updates?
It is possible for a supplier to setup a subscription for a buyers party data.
When having such a subscription, a supplier can set the start date for party
data export to EDI, and set how often party data should be exported to EDI.

Go to "Parties" - "Relations".
Click on the tab for "Business relations".
Click on a "Name" to see more information about that party.
Click the tab for "Supplier settings".
Scroll down to "Party data subscription start date" and "Party data subscription

To set the start date for party data export to EDI, click "Select date".
Select a date in the calendar.
The date will be selected.
Click, and select an interval.
The interval will be selected.
Click "Save", to save the settings.
How to see a receiving party's validation rules?
Go to "Parties" - "Relations".
Click on the tab for "Business relations".
Click on a "Name" to see more information about that party.
Click on the tab for "Validation rules".
Click on "Price catalog (Pricat), to see the validation rules for PRICAT.
Validation rules for PRICAT will be listed.
Any party specific validation rules are by default listed at the bottom of the
list.
How to download my party´s "Party Tree" data?
To start exporting the party tree data, click the "Download" icon.
A pop-up window appears.
Click to "Select format".
Click "Download", to start downloading the party tree data.
Where to find a buyers "Party Tree"?
Go to "Parties" - "Relations".
Click on the tab for "Business relations".
Click on a "Name" to see more information about that party.
Click on the tab for "Party Tree", for a list of parties with the selected party
as parent.
How to download a buyer’s "Party Tree" data?
To start exporting the party tree data, click the "Download" icon.
A pop-up window appears.
Click to "Select format".
Click "Download", to start downloading the party tree data.

Where to find my "Party Tree" data?
Buyers have the possibility to send their location data via EDI or Excel uploads
to the portal, to store, update and visualize the information, accessible for
all partners.
Go to "My Organisation" - "My Party".
Click on the tab for "Party Tree", for a list of my party´s stores or
warehouses.
How to invite a new user?
With a user role as an administrator, it´s possible to invite new users.
Go to “My organisation” – “Users”.
Click “Invite user” in the top right corner.
A pop-up window appears.
In the pop-up window, type the email address to the user to be invited, and
click “Send invitation”.
An email will be sent to the email address typed in.
What can be found under the tab for "Validation rules" in a group?
Groups have no validations of their own, the members of the group own the
validations.
What can be found under the tab for "My party" in a group?
Information about the group.
In difference to other “My Party” information, group information will only show
information for:
* Party name – The name of the group as entered by the party.
* Site reference/GLN – Group´s GLN number.
Other fields will be empty.
How to see a list of "Members" in an active group?
In the list of "Active" groups, click the "Name" for a group to see more
information about that group.
Click on the tab for "Members" to see a list of members in the group.
How to "Activate" a deactivated group?
In the list of inactive groups, click the button "Activate" for a group, to
activate that group.
How to "Deactivate" a group?
In the list of active groups, click the button "Deactivate" for a group, to
deactivate that group.
How to see a list of "Inactive" groups?
Go to "Parties" - "Groups".
Click on the tab for "Inactive" to see a list of all inactive groups.
What can "Groups" be used for?
Groups can be used by Suppliers to gather a selection of buyers into one entity
which can be used to publish master data towards.
The grouping functionality can also be utilized by Suppliers who want to share
data internally with a cluster of subsidiaries, sub-divisions etc.
How to see a list of "Active" groups?
Go to "Parties" - "Groups".
Click on the tab for "Active" to see a list of all active groups.
What can be found under "Groups"?
Lists of all “Active” and “Inactive” groups.
How to remove a member from a group?
To remove a member from a group, please contact Customer service.
It´s also possible to deactivate the group, which the party to be removed is a
member in, and create a new group without that party.
How to upload my Party Data?
Only available for buyers.
Buyers have the possibility to send their location data via EDI or Excel uploads
to the portal, to store, update and visualize the information, accessible for
all partners.
Go to “Communication” – “Messages”.
Drop a file from the computer into the “Drop a file here or click to
browse…”-field or click the same field to browse for a file on the computer.
Click the drop-down list and select “PartyData”.
Click the drop-down list to select format for the file to be uploaded.
Select “Excel Declarative…" if uploading an Btwentyfour Excel template.
The Btwentyfour Excel template can be found at https://big.btwentyfour.com/.
Click "Upload".
The upload process will start.
How to view an event page via a notification?
Click on a notification to view the event page.
When clicked the number of unread notifications will be decreased and the
notification will be marked as read.
How to search in "Messages"?
It´s possible to search for messages and/or filter them.

How to upload a file in "Messages"?
There are several message types that can be uploaded manually to the portal, and
in different formats depending on message type.
The most common situation is that a party does not have a system integration to
the portal, which will automatically transfer messages to the portal, and need
to manually upload a PRICAT file to the portal.
An Excel Declarative PRICAT-template can be found by navigating to
“Communication” – “Message Templates”.
To upload a file, in this example a PRICAT, go to “Communication” – “Messages”.
Drop a file from the computer into the “Drop a file here or click to
browse…”-field or click the same field to browse for a file on the computer.
Select message type for the file to be uploaded. PRICAT is selected by default.
Select the corresponding format for which the file was saved in.
There are different formats available depending on which message type to be
uploaded.
“Excel Declarative…” should be used for PRICAT that have been created using the
downloadable template from the portal.
Click “Upload” to upload the file.
What can be found under "Messages"?
Functionality to upload messages manually.
List most communications of messages going in or out of the portal, with status
for each message number. Each message number is clickable for message details.
Search for messages going in or out of the portal.
How to activate an inactive group?
Go to "Parties" - "Groups" and click on the tab for "Inactive".
To activate a group, click “Activate”.
How to deactivate a group?
Go to "Parties" - "Groups".
To deactivate a group, click “Deactivate”.
Where to find users?
Go to "My organisation" - "Users".
There is a list of all users for a party, and possibility to invite new users.

Click to see the latest events in chronological order.

Where to find files ready to be downloaded?
Files ready to be downloaded will be listed under the cloud icon in the top
right corner of the page.
Click the icon to view the files.
Click “Download” to download a file.
Click “Delete” do remove a file from the list.
Click “Delete all” to remove all files from the list.
How to remove an event notification?
To remove a notification, click the “x” to the right of the notification.
The notification will be removed.
Click “Dismiss all notifications” to remove all notifications from the list.
All notifications will be removed, and the notification icon will be grayed out.
How to add a party to a group?
To add a party to a group, go to “Parties” - “Relations” and click on “Group”
for the party to be added to a group.
A pop-up window appears.
To add the party to a new group, enter a name for the group in the field for
“Name”.
Click “Create”.
The group name will be added to the drop-down list.
Click “Add to group”, to add the party to the newly created group.
Add to existing group
To add a party to an existing group, click on the drop-down list and select the
group to add the party to.
Click “Add to group”, to add the party to the existing group.
A party can be added to multiple groups.
Why does it say “You need to check and update your contact information.” at the top of the Btwentyfour Dashboard?
If any mandatory information are missing under "MY ORGANISATION" - "My Party"
you will be informed about that with a notification at the top of the
Btwentyfour Dashboard.
Click the "Update your information" button to the far right of this notification
to go to "MY ORGANISATION" - "My Party" where you can update your information.
How to see receiving party's validation rules?
Go to "PARTIES" - "Relations".
Click on the "NAME" you want to see the validation rules for.
Click on the tab for "Validation rules".
Click on the message type you want to see the validation rules for.
How can I export files to my business system?
All message types that are listed in the left menu in BOP can be exported to
your business system if there is a valid integration.
1. Click on the message type name in the menu to view a list of those messages.
2. Search for the message to be exported.
3. Click on the icon to the far right of the message row, "Download/Export to
EDI".
4. Click on the "Export to EDI" tab.
5. If necessary, change integration from "Default integration".
6. Click "OK" to export the message to your business system.
How to see if actions were triggered?
When there is an ongoing process, for example when a file is being validated,
the process icon in the top right corner of the page will animate.
Click the icon to view the process.
How to decline a relations request from a party?
Go to “Parties” – “Relations”.
Here you will find an overview of your business relations.
Click “Decline request” to decline a business request from another party.
How to approve a relations request from a party?
"Go to “Parties” – “Relations”.
Here you will find an overview of your business relations.
Click “Approve request” to approve a business request from another party."
How can we see if we have a relation with a party?
Go to “Parties” – “Relations”.
Here you will find an overview of your business relations.
If you have a relation with a party you can see the “APPROVED DATE”, and the
button “Remove relation” on the line for that party.
How to know which party to send a relation request to?
If for example a search for a party results in a lot of parties to choose from,
a relation request should be sent to a party’s HQ (Head Quarter).

Go to “My Organisation” – “My Party”.
Click on the tab for “My Party”.

How to change language?
It is possible to change language in the portal under the flag icon in the top

How to dismiss all notifications?
Click “Dismiss all notifications” to remove all notifications from the list.

When there is an ongoing process in the background, for example when a file is
being validated, the process icon in the top right corner of the page will
animate.
Click the icon to view the process.
How to delete all files from list of downloadable files?
Click “Delete all” to remove all files from the list.

Click the name of the file...

Buyers have the possibility to send their location data via EDI or Excel uploads
to the portal, to store, update and visualize the information, accessible for
all partners.
How to change information for my party?
To add/or change any information, enter the information in the field…
